Position Overview

Start Date: ASAP

We are seeking a highly organized, tech-savvy, quick thinking and detail-oriented Executive Assistant to support our live sessions, events, merchandise, and digital platforms. This role is crucial in ensuring a seamless experience for our members by managing session logistics, video content, inventory, event materials, and community updates across platforms like Zoom, Vimeo, and our app AwakenU.

What You'll Be Doing:

Live Sessions & Member Engagement

- Support the execution and smooth operation of weekly live sessions and online events.

- Track and report member attendance.

- Set up and collect questions for Weekly Q&A sessions.

- Upload podcast episodes and updates inside AwakenU.

Post-Session & Content Management

- Manage the Zoom and Vimeo accounts of the company

- Edit and upload session recordings to AwakenU and Vimeo.

- Maintain an up-to-date inventory of all video content.

- Ensure proper backup and review of all live and online event recordings.

- Oversee and maintain the organization of AwakenU, Zoom, and Vimeo libraries.

- Support members and the team when they are looking for a specific recording

Event Support & Logistics

- Prepare the AwakenU digital space before each Awaken event.

- Post real-time updates and provide attendee support in the app during the events.

- Coordinate pickups for event materials.

- Place and manage orders for event-related items.

- Set up, manage, and follow up on pre-orders and shipment tracking.

- Support sales and process refunds through Square or any order platform.

- Manage inventory updates for merchandise.

- Coordinate merchandise logistics for live events.

- Source and place orders for event merchandise.

What We're Looking For:

- Proven experience in admin support and content management.

- Strong familiarity with Zoom, Vimeo, and digital content platforms.

- Comfortable with editing basic video content.

- Excellent organizational skills with strong attention to detail.

- Quick thinking and problem solving abilities.

T- ech-savvy with the ability to learn new tools and systems quickly.

- Ability to manage multiple projects and deadlines independently.

- Strong written communication skills for app updates and member support.

Bonus Skills:

- Graphic design or content editing background.

- Customer service experience in a digital or event setting.
